Planning a community festival or event in Richmond Hill?
If your organization, community group or business is planning a community festival or event in a Richmond Hill, utilizing town parks and recreation facilities, and road/road allowances, please complete and submit the Festival & Event Application.

How to Apply for a Permit

Online Facility Rental Permit Request Form
Facility rental permit requests for all facility types (indoor and outdoor) can now be made online! If you would like to book space/time at one of our facilities, please fill out the online form at the link below. You will receive a follow-up email or telephone call regarding your request within five business days.

Reserving Space
The Clerk can hold a space for you for a maximum of one calendar day effective from the date the hold is initiated. At the end of one calendar day, the hold is automatically cancelled and the facility space is returned to active availability. The Clerk will not call and advise you that the hold period has elapsed.

All permits will be drawn up by the Clerk. Applications for permits must be in writing, and in the possession of our Facility Booking Clerk at least 10 business days prior to the event. Each application will be processed as soon as possible, however, please be aware that some requests necessitate date priority. Permits will outline all requirements and service charges. One week after a booking is made, a $300 damage deposit must be remitted. Payment in full for the hourly rental of a facility must be received two weeks prior to your function. Should the balance not be paid within this time frame, your function may be cancelled. Notified cancellations are governed by the following guidelines and fees:


  • Two weeks advance notice - $10
  • Less than two weeks advance notice - $150 (50 % of damage deposit)
  • Less than one week advance notice - $300 (100 % of damage deposit)
The cancellation fees listed above will be withheld from your damage deposit.

Payment will be accepted by cheque, money order, Visa or Mastercard. Cheques and money orders must be made payable to the Town of Richmond Hill. Post-dated cheques will not be accepted.

Where bond deposits are required, applicable refunds will be mailed within 10 to 12 business days after the date of the function.

The Community Services Department will provide the following:
  • Booking assistance
  • Authorized permit
  • Use of area specified by permit
  • Tables and chairs
  • Air conditioning
  • Copy of the Municipal Alcohol Policy 

What is NOT Provided
When you host a function in one of our facilities, you are responsible for providing the following:
  • Special occasion permit (for a licensed function)
  • Any alcohol/mix required
  • Table coverings
  • Dishes, cutlery or coffee maker
  • Catering
  • D.J., music or band and equipment  
  • Set-up & clean-up staff
  • Bartenders (must have Smart Serve Certificate)

*** Please do not use tape on facility walls when putting up decorations for your event

Personal information is protected under the Municipal Freedom of Information and Protections of Privacy Act, 1989. Personal information is collected pursuant to the Municipal Act, R.S.O., 1990, Chapter M-45 as amended, s.207, par. 28 and will be used for the purpose of booking facilities.
